Evidence integrity

We never assert what we didn’t verify

A representment packet is a document you file with a bank. Padding it with delivery confirmations nobody checked, or signatures nobody captured, puts you at risk under the card network’s rules — not the vendor who generated it.

So ProofBack labels the provenance of every fact. Where we confirmed delivery with the carrier, the packet says so. Where the only source is your own fulfilment record, it says that instead — and an exhibit with no data behind it is left out entirely.

The packet

Six pages, in the order a reviewer reads them

Dispute reviewers work a queue under time pressure. The packet leads with the summary and the argument, then supports both with the underlying records — each labelled with where it came from.

  1. 1 Cover sheet Case identification, AVS/CVV results, qualification outcome.
  2. 2 Rebuttal statement The formal argument addressed to the acquiring bank.
  3. 3 CE 3.0 audit matrix Element-by-element comparison against the prior transactions.
  4. 4 Fulfilment record Carrier, tracking and timeline — with its verification status.
  5. 5 Itemised invoice Line items, quantities and the disputed total.
  6. 6 Certification of records Provenance of each element, and the limitations of the packet.

How it works

From notification to a packet you can file

  1. STEP 01

    Dispute arrives

Shopify notifies ProofBack the moment a chargeback opens. The order, customer and fulfilment records are imported automatically.

  2. STEP 02

    History is matched

The engine searches the customer’s prior orders for the best-matching pair on the same card inside the 120–365 day window.

  3. STEP 03

    Packet is compiled

A formal letter and the supporting exhibits are generated, each annotated with its source and verification status.

  4. STEP 04

    You review and file

Check the packet, download it, and submit through your processor. You stay in control of what gets filed.

ProofBack prepares and formats evidence. Whether a dispute is won is decided by the issuing bank and the payment network — no tool can guarantee an outcome, and any that claims otherwise is overselling.

Pricing

Flat monthly. No cut of your recoveries.

Recovery agencies typically take 20–25% of everything they win back. ProofBack charges a subscription and nothing else — what you recover is yours.

Common questions

What is Visa Compelling Evidence 3.0?

A Visa framework for reason code 10.4 disputes. If you can show the cardholder completed prior undisputed transactions on the same card with matching identifiers, liability can shift to the issuer before the dispute reaches arbitration.

Do you guarantee I’ll win disputes?

No. ProofBack determines whether a dispute meets the CE 3.0 criteria and assembles the evidence in the format reviewers expect. The decision rests with the issuing bank and the payment network.

Why does the packet sometimes say “unverified”?

Because it is. Without a carrier tracking integration, the only delivery evidence is what your own store recorded — and stating that as confirmed delivery would be a false claim in a document filed with a bank. Connect a tracking provider and confirmed deliveries are labelled as such.

Is the packet submitted automatically?

Not yet. You review each packet and file it through your processor. Automatic submission is on the roadmap.

What data do you access?

Orders, fulfilments, customers and disputes — only what the evidence requires. We never see card numbers. Full detail is in the privacy policy.
